How Furniture Distributors Turn Messy Supplier Files Into One Catalog

Build one furniture product model, map each supplier into it and keep supplier identifiers separate so more of the range can be listed and quoted.

How Furniture Distributors Turn Messy Supplier Files Into One Catalog

One supplier sends a clean row for every SKU. Another sends a PDF price list, a folder of images and a note that says "available in 22 fabrics." Waiting for them all to adopt the same template is not a catalog strategy.

The distributor needs its own product model. Each supplier file is then mapped into that model, checked and reused when the next update arrives. That is how a mixed supplier range becomes one catalog the ecommerce, sales and customer-service teams can actually use.

Start with the record you need, not the file you received

For a sofa, the distributor's record might include its own SKU, Supplier, Supplier SKU, size, orientation, fabric, fabric grade, leg finish, dimensions, price, lead time and imagery.

Supplier and Supplier SKU are not automatic Furniture Connect fields. Add them as attributes and keep them separate from your own SKU. That distinction matters when two suppliers use similar codes, a supplier changes a reference or the buying team needs to place a repeat order.

Do not copy the structure of your largest supplier. If their vocabulary becomes your model, every other supplier becomes an exception.

Map the differences once

The first import from a supplier involves decisions:

  • Does "Overall W" mean assembled width?
  • Is the file in centimeters or inches?
  • Does "Anthracite" map to your "Dark Gray," or is it a separate finish?
  • Are width, depth and height split into fields or packed into 210x95x85?
  • Does one row describe a product family or a purchasable SKU?

Record those answers in a supplier-specific mapping. The next file should not require the team to remember them from scratch.

Furniture Connect's Agent-assisted import can work from spreadsheets, PDFs, websites and product images. Those inputs are not all processed as one identical spreadsheet route. In a bulk spreadsheet import, a matching SKU updates the existing product and only supplied columns are changed. That match does not prove that the supplier still means the same commercial item, so identifiers and proposed changes still need review.[1][2]

Build the sellable structure deliberately

A text field saying "available in 22 fabrics" does not tell a retailer, salesperson or assistant which exact versions can be ordered.

Create the combinations the business genuinely sells. Furniture Connect can model variants across up to three native axes. If the range has more than three independent choices, decide whether some should be separate products, supporting attributes or selections made at order time.

The Agent can propose and create a variant structure. When grouping is ambiguous, it should resolve that with the user first. A flat spreadsheet import won't rebuild every family and dependency on its own.

Leave missing facts missing

A missing seat depth is a task, not an invitation to guess.

The same applies to fabric composition, fire-safety evidence, lead time and price. AI can organize supplied material, draft content from verified facts and identify gaps. It cannot know a measurement or commercial rule the supplier never provided.

Send the question back to the supplier and keep a visible record of what is missing. That protects more of the range from being held back by one awkward product while stopping the awkward product from going live with invented data.

Treat images as product data

Images often arrive separately and with names such as IMG_4471.jpg. Use supplier identifiers where they are reliable, then confirm visually which product and colorway each file shows.

A plausible match is not enough. Two gray fabrics can look close in a folder and become obvious once the wrong one appears beside its swatch on a product page.

Make updates a comparison, not a rebuild

When a supplier sends a new file, use the saved profile, compare it with the maintained records and review the changes. New products can be added, matched SKUs updated and withdrawn options handled through the business's retirement process.

Do not assume an archived status removes a product from every quote, feed or retailer listing. Check each selling route explicitly.

The value of this workflow is visible at range level: more supplier products become listable, searchable and quotable without every new file creating a private spreadsheet project.

Where Furniture Connect fits

Furniture Connect combines the import work with a furniture catalog holding products, variants, materials, finishes and imagery. Saved spreadsheet import profiles can reuse confirmed column mappings and supported image-matching rules. A different document layout or ambiguous product grouping may still need review. Products can carry variants across up to three axes, while images and media can be assigned to the relevant product or variant.

The system helps the team structure and review the work. It does not decide the distributor's commercial identity rules, verify an unknown specification or make every supplier combination valid by inference.
