Configuration Availability vs Stock Availability: What Furniture Buyers Need to Know

Understand the difference between range status, sell-through stock and order availability, and how Google Merchant Center and Schema.org represent them.

Configuration Availability vs Stock Availability: What Furniture Buyers Need to Know

A sofa configuration can remain in the current range while temporarily unavailable. Another can be withdrawn from new production while remaining stock is still legitimately for sale. A third may be blocked from sale even though physical stock remains.

Range status, permission to sell and fulfillment availability are related, but they are not interchangeable.

Separate the questions before choosing the status

At minimum, a furniture team needs to distinguish whether a configuration may still be sold from whether an accepted order can be fulfilled. Where discontinued stock may be sold through, it also needs to record whether that configuration remains available for new production.

These are different questions:

  • Range status: Is the configuration active, awaiting launch, withdrawn from production or archived?
  • Permission to sell: Can the business still take a new order for it?
  • Stock availability: How much physical inventory exists, and where?
  • Fulfillment availability: Can an accepted order be fulfilled through current stock, backorder or made-to-order production, and when?

Two fields can be a useful starting point. They are not a universal model for every furniture business. A retailer selling through discontinued floor stock needs a different level of detail from a manufacturer taking made-to-order purchases against factory capacity.

Discontinued does not always mean unavailable

A supplier may call a fabric or configuration discontinued because it will no longer be manufactured. That does not automatically make every unit unsellable.

A retailer may have approved stock left in a warehouse or showroom. If that stock remains available for sale, the offer can stay live until it sells through. The catalog still needs to show that no new units can be produced, or the sales team may promise quantities that do not exist.

The reverse can happen too. Physical stock may remain, but the business may block further sales because of a recall, commercial restriction or another approved decision. A positive stock count is not permission to sell.

Stock and order availability are not the same thing

Stock availability describes physical inventory. Fulfillment availability describes whether an order can be accepted and fulfilled, including through backorder or made-to-order production. For furniture, the expected dispatch or delivery timing is often as important as the status itself.

Zero warehouse stock therefore does not always mean the configuration cannot be ordered. A made-to-order sofa may have no finished units waiting in a warehouse but still be available with an agreed lead time. A released product awaiting replenishment may be offered on backorder.

Showing a temporarily unavailable configuration as immediately available can mislead buyers. However, accepting a backorder or made-to-order purchase may be legitimate when the fulfillment terms and expected timing are clearly stated.

How Google Merchant Center represents availability

For standard product listings, Google Merchant Center accepts four availability values: in_stock, out_of_stock, preorder and backorder. Its build_to_order value is limited to vehicle ads.

Google defines in_stock around accepting orders and being able to fulfill them in a timely manner. It is not simply a test for a positive warehouse count. Use out_of_stock when the product is temporarily unavailable and orders are not being accepted. Use backorder for an existing released product that is temporarily unavailable but can still be ordered for later shipment.

If a configuration is permanently no longer offered for sale, Google instructs merchants to remove it from their product data. If approved remaining stock is still being sold, describe the current offer accurately rather than treating withdrawal from production as automatic withdrawal from sale.

There is one mapping wrinkle worth knowing. Google's structured-data mapping places Schema.org's Discontinued value under out_of_stock. That mapping does not replace Google's separate instruction to remove offers that are permanently no longer sold.

Preorder is for an unreleased product that can already be ordered

A configuration awaiting launch should have a separate internal launch status. For Google, use preorder only when orders are being accepted for a product that has not yet been released. Google requires an availability date, which must also appear on the landing page.

Existing released products awaiting replenishment use backorder when orders are accepted, again with an availability date. A planned launch with no orders being accepted is not automatically a preorder offer.

Schema.org uses a broader vocabulary

Schema.org's ItemAvailability vocabulary includes Discontinued, MadeToOrder, BackOrder, PreOrder, OutOfStock and other values. That gives a website more ways to describe an offer than the four standard Google Merchant Center values.

The vocabulary does not design the business's internal model, though. It cannot decide whether a discontinued product may sell through, whether factory capacity is available or whether stock in one location can fulfill an order in another market. Those rules still need to be agreed and maintained by the business.

Where Furniture Connect fits

Furniture Connect provides separate variant lifecycle and stock-status fields. Lifecycle values include active, draft, unlisted and archived. Stock-status values include in stock, low stock, out of stock, made to order and discontinued.

Those fields do not by themselves establish live inventory quantities, production capacity, promised delivery dates or automatic destination mappings. Teams need to agree how their business states map to the available fields. In particular, unlisted means hidden rather than necessarily prohibited from sale, while made to order does not prove that the factory currently has capacity.

Keeping lifecycle and stock status separate makes the intended distinction easier to record. It does not remove the need to check destination rules or confirm what has gone live. Furniture Connect does not automatically reconcile stock or retirement states across retailer portals and other external channels.

Audit the evidence, not the sales history

Compare one range's listings against current supplier notices, approved sale restrictions and verified stock or production information. Investigate configurations whose listing status conflicts with those records.

Then confirm what each discrepancy means before changing the catalog: temporary unavailability, withdrawal from production with permitted sell-through, or complete withdrawal from sale. A configuration that has not appeared in a successful quote for several months may deserve investigation, but that alone is not evidence that it has been discontinued.
