Furniture Asset Metadata: The Essential Fields for a Usable Catalog

A practical metadata structure for furniture images, swatches and documents, including product links, asset roles, source, approval and channel use.

Furniture Asset Metadata: The Essential Fields for a Usable Catalog

An image called final-v7.jpg may be perfectly good photography. It is still a poor catalog asset if nobody knows which product it shows, which role it fills or whether it has been approved.

Furniture asset metadata connects the file to the catalog. The field set can be held in a DAM, product platform or maintained register. It can also be embedded in the file where IPTC or XMP fields are supported.

Start small. A shorter register that the team maintains is more useful than 60 empty fields.

If you are deciding where to hold that register, compare PIM, DAM and shared drives before choosing a system.

The eight fields to start with

FieldWhat to recordWhy it matters
Asset IDA permanent unique identifierFilenames change; the ID should not
Link type and IDProduct, variant, material or collectionShows what the asset represents
Asset roleHero, gallery, swatch, lifestyle, diagram, detail, video, 3D or documentMakes coverage measurable
SourceSupplier, shoot, agency, stock or internal generationPreserves provenance
Digital source typePhotograph, render, generated or AI-edited photographSupports the right review and disclosure process
StatusDraft, in review, approved, superseded, restricted or rejectedStops "is this approved?" becoming a message to a person
Approved by and dateNamed reviewer and decision dateMakes the decision traceable
Owner and review dateWho maintains it and when it should be checkedKeeps old assets from remaining live indefinitely

For product-specific assets, add the exact SKU and relevant variant values. For a swatch, use the material code. For a brochure, use the collection or campaign.

Product and variant connection

This is the part generic metadata templates miss.

Use fields for:

  • Link type: product, variant, material, collection or brand
  • Product-family ID
  • SKU
  • Variant values such as colorway, orientation, configuration and finish
  • Material code
  • Collection
  • A flag showing whether the asset is valid for the whole family

Assign the asset to the most specific thing it depicts. A sofa image showing one fabric should not be attached loosely to the whole range. A swatch should not be copied into every product that uses it; it should link to one material record.

Furniture Connect keeps images connected to SKU, variant and collection context in the Agentic Catalog, while its batch material workflow tags generated outputs by product, material and angle.

The image still needs manual review and explicit confirmation before it is saved against an exact variant.

Asset role and technical information

Useful role fields include:

  • Asset role
  • Document subtype
  • View or angle
  • Display sequence
  • Primary asset flag
  • Master or derivative status
  • Parent asset ID for derivatives
  • File format, pixel dimensions and file size

The role is more important than the raw image count. A product may have ten gallery images and still be missing a hero, dimension diagram or images for most sellable colorways.

GS1's Product Image Standard provides a formal cross-industry structure for product-image naming and storage. Release 5.0 was ratified in July 2026. You do not have to adopt the entire filename convention to use the useful ideas: a stable product identifier, a view code and a clear master-to-derivative relationship.

Source and creation metadata

Record:

  • Source organization
  • Creator
  • Creation date
  • Shoot or job reference
  • Digital source type
  • Source asset for generated or edited work
  • Tool or system used, where relevant

IPTC's 2025.1 Photo Metadata Standard includes a Digital Source Type field and four fields for AI system and prompt information.

That distinction helps the reviewer understand what they are checking. A photograph, a CGI render and an AI-edited product image do not have the same provenance.

Approval and product accuracy

Use a simple status vocabulary:

  • Draft
  • In review
  • Approved
  • Published
  • Superseded
  • Restricted
  • Rejected

Then record the reviewer and date.

For furniture imagery, the approval check should cover silhouette, proportions, construction, material, finish, color, orientation and configuration. Styling choices such as room, lighting, props and camera angle are judged against the brief rather than treated as product defects.

Furniture Connect does not currently run automatic product-image QA. The reviewer approves, requests changes or rejects the output. Once approved, a generated image can be offered for linking to the exact SKU or colorway, with confirmation.

Usage and rights fields

If the business receives supplier imagery, commissions photography, uses stock or sends assets to third-party marketplaces, add:

  • Rights or permission basis
  • Licensor or source contact
  • Agreement or license reference
  • Permitted channels
  • Territory
  • Start, end or review date
  • Required credit or copyright notice
  • Release reference where people or private property are involved

Do not infer the legal position from a filename or invoice. UK law generally starts with the author as first owner of copyright, except for work made by an employee in the course of employment. US Copyright Office guidance also treats work made for hire as a specific exception. Have contracts or unclear usage rights checked by the appropriate adviser.

IPTC includes rights-related fields, and Google Images can read selected IPTC or structured-data fields for creator, credit and licensing information.

Channel and lifecycle fields

Record:

  • Channels where the asset is published
  • Derivative IDs
  • The specification each derivative was prepared to meet
  • Alt text and extended description
  • Review-by date
  • Replacement or superseded-by asset ID
  • Product-linked retirement date

Channel formatting is not automatic in Furniture Connect. State the required ratio, crop, resolution and use case, then review the output. Google Merchant Center, for example, will require product images of at least 500 × 500 pixels from 31 January 2027.

How to put the fields into practice

Do not start by designing the perfect schema or backfilling an entire archive. Add the eight starting fields to new assets first. Then work backward through active products, current sales materials and the ranges due to launch next.

Use controlled choices for link type, asset role, source and status. Free text will quickly produce several versions of the same answer. Keep identifiers stable, and let names or filenames change without breaking the catalog connection.

The first target is simple: every active asset should have an ID, a catalog connection, a role, a source, a status and an owner.

For the underlying model, see what a furniture DAM has to make visible. For the process these fields support, see the furniture product-asset lifecycle.

Make metadata collection part of furniture supplier catalog onboarding so product and asset records arrive together.

Frequently asked questions

What metadata fields does a furniture image need?

Start with eight: a permanent asset ID, the link type and ID (product, variant, material or collection), the asset role, the source, the digital source type, a status, the approver and date, and an owner with a review date. For product-specific assets add the exact SKU and relevant variant values; for a swatch use the material code; for a brochure use the collection or campaign.

What is digital source type and why does it matter?

It records whether an asset is a photograph, a render, generated media or an AI-edited photograph. IPTC's 2025.1 Photo Metadata Standard includes a controlled Digital Source Type field plus four fields for AI system and prompt information. The distinction tells a reviewer what they are checking — a photograph, a CGI render and an AI-edited product image do not have the same provenance.

Should a fabric swatch be attached to every product that uses it?

No. Link the swatch to one material record and let every product using that fabric reference it. Copying the file into each product folder creates as many versions of the truth as there are products, and a corrected swatch then has to be replaced in all of them.

How should a furniture team roll out asset metadata?

Do not design the perfect schema or backfill the whole archive. Add the eight starting fields to new assets first, then work backward through active products, current sales materials and the ranges due to launch next. Use controlled choices for link type, asset role, source and status — free text will quickly produce several versions of the same answer.
