The Furniture Product-Asset Lifecycle: From Intake to Retirement
A seven-stage process for receiving, connecting, reviewing, distributing and retiring furniture images, swatches, documents and sales materials.

If "is this image approved?" has to be answered in Slack, the asset does not have a lifecycle. It has a memory attached to a person.
A working lifecycle gives every asset a clear state, owner and next decision. The process covers photography, renders, generated imagery, swatches, specifications, care guides, brochures and other sales materials.
The seven stages

1. Intake or creation
Assets usually enter from a supplier, commissioned shoot, agency, stock library or internal production workflow.
Record the information that will be difficult to reconstruct later:
- Source and creator
- Product manifest or filename-to-SKU mapping
- Whether it is photography, a render, generated media or an AI-edited photograph
- Any usage terms, territories, channels or end dates supplied with it
- The master file and its unique asset ID
IPTC's Photo Metadata Standard includes a controlled Digital Source Type field and specific fields for AI system and prompt information.
If rights or ownership matter to the intended use, get the agreement checked rather than assuming that paying for a photograph transferred copyright. UK law generally starts with the author as first owner, except for work made by an employee in the course of employment. US guidance also treats work made for hire as a limited exception.

2. Technical check
Check the master before attaching it across a range:
- Resolution and file format
- Crop and background
- Color consistency
- Visible defects or compression
- Whether the whole product is present
- Whether a transparent or clean-background master is available
Keep technical fixes such as background removal or upscaling as derivatives of the master, not unrelated new files.
Google Merchant Center will require product images of at least 500 × 500 pixels from 31 January 2027 and recommends 1500 × 1500 or larger. Other channels may set different requirements, so check the destination rather than treating one specification as universal.
3. Connect the asset to the catalog
Attach the asset to the most specific thing it actually represents.
- A general product-family shot belongs to the product family.
- A fabric-specific image belongs to the relevant variant or product-material combination.
- A swatch belongs to the material library.
- Assembly instructions belong to the covered SKUs.
- A brochure may belong to a collection or campaign.
This connection is what lets the team measure imagery coverage across the catalog.
Furniture Connect keeps product assets linked to Agentic Catalog records, and its batch material workflow tags outputs by product, material and angle. Generated output should not be silently saved against a variant. It should be reviewed first and linked to the exact SKU or colorway only after confirmation.
4. Assign the role and metadata
Set an asset role such as hero, gallery, colorway, swatch, lifestyle, diagram, detail, video, 3D or document.
Then add the metadata needed to find and use it:
- View or angle
- Sequence or primary status
- Description and alt text
- Source and creation date
- Rights or usage reference where relevant
- Owner and review date
The furniture asset metadata template gives a practical field set. Use only the fields your workflow will maintain. A 60-field template with mostly empty columns is not governance.
5. Review and approve manually
Furniture Connect does not currently run automatic product-image QA. Accuracy review is a human step.
Compare the output with the approved product reference and inspect:
- Silhouette and proportions
- Construction details
- Material, weave or grain
- Finish and color
- Orientation and configuration
- What is included in the sale versus what is styling
Lighting, room styling, camera angle and props can be creative choices. A changed arm profile, wrong leg finish or incorrect fabric is a product problem.
The reviewer should approve the image, request a change or reject it. Record who made the decision and when. For generated imagery, approval should happen before the asset is offered for variant linking.
Marketing imagery must not materially mislead. The UK CAP Code applies regardless of how the asset was created.
6. Prepare and distribute by channel
Start from the approved master and create the version needed for the destination.
The channel owner should specify:
- Intended use
- Aspect ratio
- Crop and background
- Resolution and file format
- Which variant should receive the asset
- Whether the output is a hero, gallery or campaign image
Furniture Connect does not automatically detect and enforce channel-specific image rules. If the brief needs a 1:1 marketplace tile, a 16:9 banner or a print-resolution file, say so and review that output.
Keep the derivative connected to its master so a later product correction can be traced across published destinations.
7. Maintain, replace and retire
An asset should be reviewed when:
- The depicted variant is discontinued or changed
- A better image supersedes it
- A usage permission or review date is reached
- A channel changes its requirements
- The product is removed from sale
Do not delete superseded assets if the business may need to know what was published previously. Change the state to superseded, expired or restricted and point to the replacement.
Price lists and brochures need the same treatment. They often remain in inboxes after the underlying prices or products have changed.
Make the lifecycle visible
For each stage, name one owner and one exit check. Avoid joint ownership without a final decision-maker.
The lifecycle is working when the system can answer:
- Where did this asset come from?
- What exactly does it represent?
- Who approved it?
- Where is it published?
- Is it still current?
The value is a larger usable catalog: more variants with approved imagery, more briefs answered from existing assets and fewer products left unrepresented because the team cannot find or trust the file.
