A seven-stage process for receiving, connecting, reviewing, distributing and retiring furniture images, swatches, documents and sales materials.

If "is this image approved?" has to be answered in Slack, the asset does not have a lifecycle. It has a memory attached to a person.
A working lifecycle gives every asset a clear state, owner and next decision. The process covers photography, renders, generated imagery, swatches, specifications, care guides, brochures and other sales materials.
| Stage | Main decision | Typical owner |
|---|---|---|
| 1. Intake or creation | Where did it come from, and what may we do with it? | Merchandising or studio |
| 2. Technical check | Is the master usable? | Ecommerce or content operations |
| 3. Catalog connection | What product, variant or material does it represent? | Merchandising |
| 4. Role and metadata | How should the asset be found and used? | Content team |
| 5. Manual approval | Does it represent the product accurately and fit the brief? | Product and brand reviewers |
| 6. Channel preparation | Which version is needed for this destination? | Ecommerce or channel owner |
| 7. Maintenance and retirement | Is it still current and permitted for use? | Asset owner |
Assets usually enter from a supplier, commissioned shoot, agency, stock library or internal production workflow.
Record the information that will be difficult to reconstruct later:
IPTC's Photo Metadata Standard includes a controlled Digital Source Type field and specific fields for AI system and prompt information.
If rights or ownership matter to the intended use, get the agreement checked rather than assuming that paying for a photograph transferred copyright. UK law generally starts with the author as first owner, except for work made by an employee in the course of employment. US guidance also treats work made for hire as a limited exception.
That is legal context, not a conclusion about a particular contract.
Check the master before attaching it across a range:
Keep technical fixes such as background removal or upscaling as derivatives of the master, not unrelated new files.
Google Merchant Center will require product images of at least 500 × 500 pixels from 31 January 2027 and recommends 1500 × 1500 or larger. Other channels may set different requirements, so check the destination rather than treating one specification as universal.
Attach the asset to the most specific thing it actually represents.
This connection is what lets the team measure imagery coverage across the catalog.
Furniture Connect keeps product assets linked to Agentic Catalog records, and its batch material workflow tags outputs by product, material and angle. Generated output should not be silently saved against a variant. It should be reviewed first and linked to the exact SKU or colorway only after confirmation.
Set an asset role such as hero, gallery, colorway, swatch, lifestyle, diagram, detail, video, 3D or document.
Then add the metadata needed to find and use it:
The furniture asset metadata template gives a practical field set. Use only the fields your workflow will maintain. A 60-field template with mostly empty columns is not governance.
Furniture Connect does not currently run automatic product-image QA. Accuracy review is a human step.
Compare the output with the approved product reference and inspect:
Lighting, room styling, camera angle and props can be creative choices. A changed arm profile, wrong leg finish or incorrect fabric is a product problem.
The reviewer should approve the image, request a change or reject it. Record who made the decision and when. For generated imagery, approval should happen before the asset is offered for variant linking.
Marketing imagery must not materially mislead. The UK CAP Code applies regardless of how the asset was created.
Start from the approved master and create the version needed for the destination.
The channel owner should specify:
Furniture Connect does not automatically detect and enforce channel-specific image rules. If the brief needs a 1:1 marketplace tile, a 16:9 banner or a print-resolution file, say so and review that output.
Keep the derivative connected to its master so a later product correction can be traced across published destinations.
An asset should be reviewed when:
Do not delete superseded assets if the business may need to know what was published previously. Change the state to superseded, expired or restricted and point to the replacement.
Price lists and brochures need the same treatment. They often remain in inboxes after the underlying prices or products have changed.
For each stage, name one owner and one exit check. Avoid joint ownership without a final decision-maker.
The lifecycle is working when the system can answer:
The value is a larger usable catalog: more variants with approved imagery, more briefs answered from existing assets and fewer products left unrepresented because the team cannot find or trust the file.
For the underlying model, see what a furniture DAM has to make visible. For the buying decision, use the PIM vs DAM vs shared drive framework.
Seven: intake or creation, technical check, catalog connection, role and metadata, manual approval, channel preparation, and maintenance or retirement. Each stage needs one named owner and one exit check. The process covers photography, renders, generated imagery, swatches, specifications, care guides, brochures and other sales materials.
The information that is difficult to reconstruct later: source and creator, the product manifest or filename-to-SKU mapping, whether it is photography, a render, generated media or an AI-edited photograph, any usage terms, territories, channels or end dates supplied with it, and the master file with its unique asset ID.
A person, not a system. Furniture Connect does not currently run automatic product-image QA. A reviewer compares the output with the approved product reference and inspects silhouette and proportions, construction details, material, weave or grain, finish and color, orientation and configuration, and what is included in the sale versus what is styling. They then approve, request a change or reject it, and the decision is recorded with a name and date.
Not if the business may need to know what was published previously. Change the state to superseded, expired or restricted and point to the replacement. Price lists and brochures need the same treatment — they often remain in inboxes long after the underlying prices or products have changed.
