A practical metadata structure for furniture images, swatches and documents, including product links, asset roles, source, approval and channel use.

An image called final-v7.jpg may be perfectly good photography. It is still a poor catalog asset if nobody knows which product it shows, which role it fills or whether it has been approved.
Furniture asset metadata connects the file to the catalog. The field set can be held in a DAM, product platform or maintained register. It can also be embedded in the file where IPTC or XMP fields are supported.
Start small. A shorter register that the team maintains is more useful than 60 empty fields.

For product-specific assets, add the exact SKU and relevant variant values. For a swatch, use the material code. For a brochure, use the collection or campaign.

Use fields for:
Assign the asset to the most specific thing it depicts. A sofa image showing one fabric should not be attached loosely to the whole range. A swatch should not be copied into every product that uses it; it should link to one material record.
Furniture Connect keeps images connected to SKU, variant and collection context in the Agentic Catalog, while its batch material workflow tags generated outputs by product, material and angle.
The image still needs manual review and explicit confirmation before it is saved against an exact variant.

The role is more important than the raw image count. A product may have ten gallery images and still be missing a hero, dimension diagram or images for most sellable colorways.
GS1's Product Image Standard provides a formal cross-industry structure for product-image naming and storage. Release 5.0 was ratified in July 2026. You do not have to adopt the entire filename convention to use the useful ideas: a stable product identifier, a view code and a clear master-to-derivative relationship.

For furniture imagery, the approval check should cover silhouette, proportions, construction, material, finish, color, orientation and configuration. Styling choices such as room, lighting, props and camera angle are judged against the brief rather than treated as product defects.
Furniture Connect does not currently run automatic product-image QA. The reviewer approves, requests changes or rejects the output. Once approved, a generated image can be offered for linking to the exact SKU or colorway, with confirmation.

Do not infer the legal position from a filename or invoice. UK law generally starts with the author as first owner of copyright, except for work made by an employee in the course of employment. US Copyright Office guidance also treats work made for hire as a specific exception. Have contracts or unclear usage rights checked by the appropriate adviser.
