How to Retire Discontinued Furniture Products and Variants Cleanly
A practical sequence for removing discontinued furniture products and variants from catalogs, channels, assets and sales materials.

A discontinued fabric can remain visible long after the mill stops supplying it. The parent sofa is still live, so the old colorway survives in a retailer configurator, a saved proposal and an image gallery.
Retirement is not deleting a row. It is stopping a product or variant from being sold while keeping enough history to understand what existed.
Decide what is being retired
Start with the scope:
- Material: a fabric or finish is no longer available and may affect several products.
- Variant: one size, colorway, orientation or configuration is withdrawn.
- Product: the whole parent product is leaving the range.
- Channel offer: the item remains active, but not in a particular market or destination.
These need different actions. Retiring one fabric should not remove the whole sofa. Ending a retailer offer should not erase the internal product record.
Record the decision before removing outputs
Update the maintained source with:
- Affected SKU, product and material records
- Last order or sale date
- Replacement product or material, if one exists
- Markets and channels affected
- Reason and approver
- Whether existing stock may sell through and the date new orders must stop
- Treatment of existing orders, warranties and service information
Keep the record. Change its commercial status. Deleting it first makes downstream cleanup harder to trace.
Changing the internal status is only one step. Check whether the item remains selectable in new quotes, configurators, feeds and channel offers; do not assume that archiving the record blocks every selling route.
If you use GTINs, follow the applicable GS1 rules. Under GS1's non-reuse rule, a GTIN assigned to one trade item should not later be reassigned to another product.
Remove the item from every selling route
Check the variant or product in:
- Direct product pages and configurators
- Retailer portals and marketplace listings
- Shopping feeds
- Trade price lists and line sheets
- Saved quote templates and open proposals
- Internal sales and customer-service material
Temporary unavailability and permanent retirement are not the same. Google Merchant Center advises using out_of_stock when an item is temporarily unavailable and orders are not being accepted. If orders are accepted for later fulfillment, its backorder requirements may apply instead. Permanently discontinued products should be removed from the product data.
That is specific to Google Merchant Center. Your own site may keep a retired product page for support or reference, provided it no longer presents the item as buyable.
Deal with the assets
Do not leave retired swatches and product images in an active gallery.
Record that the assets are retired or superseded in the asset system or a maintained register, and remove them from active selling selections. Preserve any copies needed for historical orders, warranty or service. If a replacement material exists, connect the new assets to the new material rather than overwriting the visual history of the old one.
Tell the people who can still sell it
Sales, customer service and retail partners need the effective date and exact affected SKU or colorway.
"The blue is discontinued" is not enough when several ranges use different blues. Name the material code, products and replacements. Check open quotes and orders rather than waiting for a customer to choose an option that can no longer be supplied.
Confirm that retirement landed
Review each destination after the update. The job is complete when the item can no longer be ordered where it should not be, not when the internal status changes.
